MINUTES OF 2008 ANNUAL GENERAL MEETING
held on Tuesday 25th March 2008 at 8pm
in Box Village Hall

Minutes of the 2007 AGM
These were agreed and signed.
The Chairman welcomed Andy Murray, the Neighbourhood Warden for Minchinhampton. Mr Murray handed leaflets to members together with an Emergency container mainly designed for single people in the event of the emergency services being called and needing to know details of relatives etc.
Mr Murray deals with anti-social behaviour, vandalism, graffiti, fly-tipping, street lighting, cars and car parking.
Mr Murray mentioned the collect litter campaign. It was agreed to include these details in the next village Newsletter.
Matters Arising (points not dealt with in the Chairman’s report)
Heavy goods vehicles – Concern was expressed about the number of heavy goods vehicles coming up the “W”. Elizabeth Law confirmed that these issues would continue to be raised with Minchinhampton Parish Council. If anyone would like to help monitor speeds then the MPC has a speedgun and would be grateful for assistance. In order for something to be done about speed etc, evidence is needed for the Highways department and Glos County Council.
Stile – The stile in the field towards New Road (Note: this field does not belong to Peter Morris) is too high and not easy to negotiate. It was confirmed that there used to be a gate at the site. The Chairman will look into this.
Police – Ray Hayward has asked if the police could confirm the days and times when they are visiting the village.
Village website – Steve Hemmings confirmed the usage of the website. The Chairman thanked Steve for his work. Johnny Wilkinson felt the money had been well spent.
Chairman’s Report
The Chairman’s Report covered the following points:
Meetings – The committee has met three times and has also co-opted Valerie Dowling.
New families – The Chairman has visited the eleven new families who have moved into the village and they have been given a Welcome Leaflet.
Planning applications – There have been ten applications with only two cases where it was felt appropriate to object.
Traffic issues – There is ongoing concern about the number of cars parked on the left hand side of the road from the Halfway House towards Hampton Green. There has also been concern about the speed of traffic across the Common. Beaudesert School has installed speed restriction signs and there is a possibility of a proposal for a new entry/exit point on Nailsworth Hill.
Environmental issues – The Chairman thanked Beris Hanks for planting more daffodils and Cliff Searle for repairing the village bench. Ray Hayward has repaired the Noticeboards and is looking into replacement costs for the handrails and footpath signs – wood instead of pipe and metal! The committee is also looking into solving the problems with the culvert in the wood and the stiles in the village – one of which is too high and not easy to negotiate.
Neighbourhood Watch – The Chairman thanked Ray Hayward for his help.
Box Village Society Website – The Chairman thanked Steve Hemmings for his help and work.
Individual properties – The Chairman confirmed that the committee continues to help and answer queries from individuals about problems with their properties.
Treasurer’s Report
The Treasurer handed copies of the accounts to members and thanked Mark Robinson for auditing these accounts. Net cash assets were ££1437.87 at 31.12.07.
The approval of the accounts was proposed by Elizabeth Law and seconded by Anne Sinclair.
Committee membership
Dave Collings and Rosalind John have decided to stand down after the AGM. The Chairman thanked them for their help and support over the years. Gareth Edwards and Tom Saul have both agreed to stand and their election was approved by the members present.
Following the AGM there will be a short meeting to approve the appointment of Christopher Law as Chairman, Anne Rogers as Treasurer and Sally Moreland as Secretary.
Any other business
Anne Sinclair expressed concern that we no longer had a milkman since Darryl had given up. It is hoped that this situation will be sorted out and Anne was happy to mail drop flyers in the village.

Minutes of May 2008 committee meeting
held on Tuesday 13th May 2008 at 8.00 pm at Box Corner, Box

Minutes of the last Meeting: Should have read wrought iron handrails not wooden.

Matters Arising
The Chine – No building work is going on at present. The Chine has set up a new school – Ebley House School. This is a Steiner school for children aged 3 – 18.
Box culvert – continues to get blocked. Possible solutions – stepping stones, a walkway or larger drain. Chris Law to look into and see what can be done. He will speak with John Lane.
Collian – planning permission has been granted.
Noticeboards – Ray Hayward has repaired a couple and will continue to check the rest. Steve Hemmings suggested external perspex. Chris Law thanked Ray Hayward
for his help.
Handrails – the cost of replacing the handrails and having wrought iron instead of metal would be approx £800 - £1000. The Society could not afford to replace these and would not wish to take on the responsibility.
Footpath signs – the problem of maintenance on wooden signs was raised.
Website – Nick Miles has agreed sponsorship for another 12 months. Two more
sponsors are needed. Steve Hemmings is waiting to hear from Nailsworth Garden Centre. Halfway House – there has been a change of staff so no joy at the moment. Other possibilities include the Village Hall Society and the Lodge.
The website is popular with approx 2000 visitors a month. The forum is quiet.
Village Green seat – Cliff Searle has repaired this.
Footpath to New Road/Stile – the stile has been replaced by a swing gate. Chris Law to thank Mr/Mrs Playne from Springfields.
Planning Applications
Box Inn Cottage – sunroom on the front. There have been objections to this. Still pending
Jasmine Cottage – alterations to the back and creation of a parking space. The committee queried the use of reconstituted tiles instead of Cotswold stone. There is a problem with flooding – drainage needs looking into. Still pending.
Neighbourhood Watch
Andrew Murray will walk through the village once a week.
Flyposting – there was a discussion about notices being posted around the village on noticeboards and telegraph poles especially when some were for activities outside the village. Several people felt they disfigured the village. It was decided to take no action at present.
Treasurer’s Report
£1184.53 in the bank. £90.24 is the cost of additional space for the website.
Any other business
- A concrete mixer has been dumped (for some considerable time) towards the bottom of Scar Hill. Tom Saul and Steve Hemmings kindly agreed to deal with this.
- Flytipping – there is a problem along the lane from Scar Hill to the “W”. Tom Saul will look into this.
- Bus stop – there are two sharp metal stubs sticking out of the ground which are dangerous. Chris Law to contact the Chine.
- Bus stop – there is also a loose cover over a small hole near the stones outside the bus shelter. Again, the Chine to be asked to deal with this.
